The Role
This position supports the successful delivery of projects from initiation through to completion in partnership with Account Managers. The Sales & Estimating Specialist plays a key role in coordinating project timelines, managing documentation, supporting bid and quotation processes, and ensuring a high standard of customer service. This role acts as a central resource for both internal teams and clients, helping to drive project efficiency and accuracy.
Responsibilities
- Partner with Account Managers to support project bids, tenders, and overall sales strategies, including gathering pre- and post-tender feedback.
- Coordinate and manage project schedules, tracking progress to ensure deadlines and client expectations are met.
- Prepare and maintain project documentation, including take-offs, bids, quotations, and supporting materials.
- Manage and update CRM systems and quotation trackers, ensuring accurate and accessible project data.
- Support all phases of project execution, including planning, monitoring, procurement, and follow-ups.
- Facilitate communication across internal teams, including Account Managers and leadership, regarding project needs and updates.
- Coordinate and attend project meetings, documenting key actions and ensuring follow-ups are completed.
- Identify project risks and issues, proposing solutions to maintain timelines and minimize disruptions.
- Build and maintain strong relationships with vendors, suppliers, and industry partners.
- Assist with RFP responses, ensuring technical accuracy and alignment with client requirements.
- Provide technical support to customers, responding to inquiries and offering product guidance.
- Process and track purchase orders and support procurement activities.
- Act as a resource and mentor to internal teams on product knowledge, sales processes, and customer service best practices.
- Support continuous improvement initiatives, including quality control and operational processes.
Requirements
- Post-secondary education in Business, Finance, Operations, or a related field; a project management certification or diploma is considered an asset.
- Minimum of 3 years of experience in sales support, estimating, or project coordination, ideally within construction, infrastructure, or a related industry.
- Strong organizational, problem-solving, and time management skills, with the ability to manage multiple priorities and meet tight deadlines.
- Excellent communication and interpersonal skills, with a high level of attention to detail and accuracy.
- Proficiency in Microsoft Office Suite, including Excel, Word, Outlook, and MS Project.
- Ability to read and interpret engineered drawings and utilize estimating tools such as Planswift.
- Strong customer service orientation with the ability to build and maintain relationships with internal and external stakeholders.
- Knowledge of administrative procedures, file management, and project coordination best practices.
